EDMS Administrator

Job Title: EDMS Administrator (Electronic Document Management System)

Location: Houston, TX (or similar project-based environment)

Employment Type: Contract / Full-Time


Overview:

We are seeking an experienced EDMS Administrator to support the development, implementation, and ongoing maintenance of an Electronic Document Management System (EDMS) within a fast-paced engineering and project environment. This role will work cross-functionally with IT, quality, project services, and engineering teams to ensure efficient document lifecycle management across multiple projects.


Key Responsibilities:


Support the configuration, maintenance, and optimization of the EDMS platform

Assist in developing document workflows, naming conventions, numbering systems, and lifecycle processes

Manage full document lifecycle including creation, version control, review, approval, and archiving

Ensure proper metadata tagging, classification, and document organization

Create and manage user roles, permissions, and document distribution matrices (DDM)

Provide system support, troubleshoot issues, and coordinate with internal stakeholders

Maintain system performance, reliability, and security, including role-based access controls

Support internal and external audits by ensuring document compliance with quality standards

Collaborate with project teams to ensure accurate and timely document control processes

Develop user guides, provide training, and support end users on EDMS functionality

Maintain document retention and disposal policies in line with company standards


Qualifications:


5–10 years of experience in document control, EDMS administration, or database systems

Strong understanding of document management processes, workflows, and lifecycle states

Experience with EDMS platforms (e.g., SharePoint or similar systems preferred)

Proficiency in Microsoft Office Suite

Strong organizational, multitasking, and communication skills

Ability to work effectively in a multi-disciplinary, project-driven environment

Fluent in English (written and verbal); additional languages are a plus


Preferred Experience:


Experience supporting engineering, construction, or industrial projects

Familiarity with Quality Management Systems and audit support

Background working with cross-functional teams in a project-based setting
