Job Responsibilities:
Vendor Onboarding/Management
Receive vendor onboarding/update request from requestors
• Contact suppliers to gather Onboarding policy documents and necessary supplier information for onboarding/update
• Validate Onboarding policy information is compliant to client policies Submit, track & expedite appropriate workflows on behalf of requestors
• Validate vendor management changes have been realized on vendor master file and respective ERP
• Provide L1 user support on vendor management requests (first contact)Reactively support vendor master file updates in cases in which data discrepancies are causing PO/AP issues
2. PO Creation & Delivery
• Send RFQs to suppliers, collect quotations and follow up with requestor for awarding
• Make sure PO is sent to supplier
• PO Acknowledgement follow up (applicable for direct)
• Support and execute PO amendments
3. PO Fulfillment
• Past due open line management. Buy Desk shall lead closure of all past due lines (Open, Closed for Invoicing, Closed for Receiving, etc.)
• Support late delivery claims (LDC) by sending the standard notification after 1-week delivery delay and support with related PO amendments, if needed
• Performing Good Receipt in the ERP
4. AP Resolution
• Receive and proactively monitor AP holds report
• Lead AP resolution of ALL hold types with the appropriate teams (AP, Supplier Master, Tax, Requestors, etc.)
• Send appropriate emails to requestors (i.e. Qty Received, Qty Ordered, Price Holds etc.)
