Role Overview

The Document Controller is responsible for managing, organizing, and maintaining all project documentation for data centre developments. This role ensures strict document accuracy, traceability, version control, and compliance with both internal standards and data-centre-specific requirements. The Document Controller supports cross-functional teams including Engineering, Design, Construction, Commissioning, and Operations to ensure fast, accurate, and auditable documentation workflows in a mission-critical environment.


Key Responsibilities


Document Control

  • Manage and maintain all project documents (IFC drawings, shop drawings, MEP documents, method statements, material submittals, commissioning reports, as-built documents).
  • Ensure correct naming, revision control, and distribution of documents.
  • Archive old versions and maintain up-to-date document registers.

Coordination

  • Coordinate document submissions with consultants, contractors, and internal teams.
  • Track review/approval status and follow up on outstanding items.
  • Issue transmittals and ensure timely distribution of controlled documents.

System Management

  • Upload, organize, and track documents in systems such as Autodesk, Lark, or SharePoint.
  • Support team members in using document management systems.

Data Centre-Specific Support

  • Handle documentation for critical systems (UPS, generators, chillers, BMS, EPMS, cabling layouts).
  • Assist in preparing and compiling commissioning documentation (L1-L5).
  • Prepare handover documents: O&M manuals, asset lists, red-line drawings.

Compliance

  • Ensure documents meet internal standards and client requirements.
  • Maintain audit-ready records and support site audits when needed.

Qualifications & Requirements

  • Diploma/Degree in Business, Engineering, Project Management, or equivalent.
  • 2-5 years of document control experience; data centre or construction experience preferred.
  • Familiarity with Autodesk and Lark, or similar systems.
  • Basic understanding of MEP drawings and technical documents.
  • Strong MS Office skills.
  • Detail-oriented and well-organized.
  • Good communication and coordination skills.
  • Fluent Mandarin preferred due to coordination needs.
  • Able to handle large volumes of documents and work in fast-paced environments.
