Project Administrator

Job Summary:

We are seeking a highly organized and detail-oriented Project Administrator to support the successful execution of solar and battery energy storage (BESS) projects. This role will play a critical part in ensuring that all administrative, documentation, and scheduling aspects of projects are efficiently managed from initiation through to closeout. The ideal candidate will have a strong background in project coordination within the renewable energy, construction, or engineering sectors. 

 

Key Responsibilities:

 

  • Assist Project Managers with day-to-day coordination and administrative tasks across multiple solar and BESS projects.
  • Maintain and track project schedules, timelines, and deliverables using project management software.
  • Organize and manage project documentation including contracts, permits, change orders, RFIs, submittals, and closeout packages.
  • Prepare, compile, and distribute internal and client-facing reports, meeting agendas, and minutes.
  • Support procurement and logistics efforts by tracking equipment deliveries, coordinating with vendors, and maintaining procurement logs.
  • Help ensure compliance with company policies, safety standards, and project-specific requirements.
  • Facilitate interdepartmental communication among engineering, construction, procurement, and finance teams.
  • Assist in processing invoices, timesheets, and budget tracking in collaboration with the finance department.
  • Coordinate travel, site access, and accommodations for field teams as required.
  • Support utility interconnection documentation and submittals when necessary.

 

 

Qualifications:

 

  • Bachelor’s degree in Business Administration, Project Management, Engineering, or related field (preferred but not required).
  • 2+ years of administrative experience in renewable energy, construction, or engineering environments.
  • Familiarity with solar PV and/or BESS projects is highly desirable.
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and project management tools (e.g., MS Project, Procore, Smartsheet).
  • Strong organizational, multitasking, and time management skills.
  • Excellent written and verbal communication abilities.
  • Ability to work independently and collaboratively in a fast-paced environment.

 

 

Preferred Skills:

Experience working with AutoCAD, PVsyst, Maximo or similar technical tools (basic understanding preferred).

 

Knowledge of renewable energy project lifecycles, permitting, and interconnection processes.

 

Familiarity with construction documentation and scheduling practices.
